Booking / Rental Terms & Conditions are for the property known as CHALET POOL.

  1. Contract / AgreementThe holiday let contract / agreement is between the principal guest (the hirer) and the owner of the property (Ms L. M. Farmer).

References to “You” or “Hirer” are references to the principal guest making the booking and all other guests of the holiday party.

References to “Owner” refer to Ms L. M. Farmer.

The property is let strictly for holiday use.

  1. General

The hirer must be over 25 years of age at the time of booking.  The hirer accepts full responsibility for all payments due and for the consequences and actions of all persons who use the property during the stay.

The hirer shall have the right to occupy and use Chalet Pool together with its garden for the agreed period.

The hirer must be one of the guests who stays at the property.  The hirer is responsible for making sure the terms and conditions of the booking and rental agreement are adhered too.

The property has a maximum occupancy of 6.

Any booking of more than 3 people of the same sex will not be permitted unless agreed with the owner in advance, or unless they are members of the same family.

House parties are expressly prohibited at the chalet.

The owner reserves the right to refuse a booking.

We strongly recommend that you take out holiday insurance to cover all risks including cancellation, accident, breakdown, loss or damage to personal property.

The owner shall not be held responsible or liable for any loss or damage suffered by you or members of your party during your stay.

3.     Booking rates

These are as published by the property owner and are subject to change from one year to the next. Rates are generally set per week unless a daily rate is quoted.  Rates will be calculated for short breaks if requested, where a daily rate is not listed.  An additional cleaning fee of £80 is levied for stays of 5 nights or less.

4.     How to book and pay

The owner endeavours to keep the availability calendar updated on a regular basis, however, please contact the owner direct to check availability. If your preferred dates are available this will be confirmed by the owner.  A booking form will be emailed for completion detailing the stay dates and rental cost. On receipt of the completed booking form and deposit by the owner, this agreement will be deemed accepted by both hirer and owner.  The booking form should be returned within 5 days together with the correct deposit to secure the booking.

Payment – At the time of booking a deposit, as confirmed by the owner, is required to secure the holiday dates requested if the start date is more than 8 weeks away. The balance plus the refundable security deposit is required to be paid no later than 8 weeks in advance of the holiday start date. All payments are via BACS.

If the start date is less than 8 weeks from the start of the holiday, payment in full is required.

For international payments, a surcharge of £25 will be taken from the refundable security deposit to cover UK bank changes and conversion rates.

  1. Returnable security/damage deposit

Chalet Pool guests tend to be careful and leave the property as found which is very much appreciated.  The hirer is required to inform the owner of accidental breakages or damage by email / text as soon as is possible, and no later than departure.  Guests should not try to repair, wash or replace anything.

A security deposit is required at the time of booking as detailed on the booking form.  In the unlikely event of there being loss, damage, breakages, excessive fuel use, or extra changeover cleaning if the chalet has been left in a poor condition, the owner will notify you of any deductions first.  The deposit will be released back to the hirer within approximately 14 days after the end of the stay.

You are liable for the full cost of any loss, damage or breakage caused to, or within the property during the rental period that has been caused by guest’s actions.  The deposit does not limit your liability for damages in excess of this amount.

Gas and electric – If excessive fuel has been used, for example through heating being left on for long periods or where appliances / heating have been left on when vacating the chalet, the owner reserves the right to deduct £60 to cover the excess.

6.  Cancellation terms (other than for COVID)

 If you have to cancel, the following charges apply:

0 to 30 days to holiday start date – no refund

31 to 55 days to holiday start date – 40% refund of total holiday rental value will be reimbursed

56 days or over to holiday start date – 100% refund of any monies paid as part of the rental balance – minus the original deposit paid at time of booking confirmation.

We shall return the security deposit, in full, in all cases, subject to the detail above.

7.  COVID cancellation policy

Where COVID government ‘lockdown’ travel restrictions are the cause of a cancellation (owner or hirer) – the offer of a deferred stay where dates are available (published booking rates for new dates apply) or a full refund will be made providing as much notice has been given by the hirer to the owner by email confirming the circumstances for travel restrictions, and no less than 5 clear days’ notice before the holiday start date. For any other Covid related reason, aside from government ‘lockdown’ travel restrictions, normal cancellation terms in paragraph 6 above apply.

8.  Non-availability

In the unlikely event that the owner has to cancel the booking, 100% of any monies paid shall be refunded.

9.  Caring for your Safety.

Every reasonable effort has been made to mitigate possible safety hazards in the property. However, it is the responsibility of the hirer to inspect the property and grounds immediately on arrival so awareness of possible hazards is heightened.

Tampering of the calor gas bottles is strictly prohibited.

N.B.  The Chalet Information Pack contains information relating to both chalet safety as well as that relating to the local area.

10.  Dogs

Up to three well behaved and fully house-trained dogs, if requested in advance and at the time of booking, are allowed.  Under no circumstances must pets be allowed to sit / sleep on any furniture or beds.  Any mess in the garden must be cleared on a daily basis.  Unfortunately, we cannot accept puppies in the property.  As a part of our acceptance, we expect you to vacuum the property daily to help keep it clean of pet hair etc.  Wet pets must be dried down before they are allowed into the property. Should these terms not be adhered too, and extra cleaning is required at the end of your stay, a £50 deduction from the security deposit shall be made.

11.  Standards

The owner endeavours to ensure that the property is well maintained and is in good working order.  If something isn’t working, the hirer should let the owner know by email or text message.  The owner will make every effort to resolve the issue as quickly as possible.

The hirer is responsible for ensuring the property is kept clean during the stay, and that the property is returned to a clean state prior to vacating it, similar to as found at the start of your holiday.  This includes dusting, vacuuming, clean bathroom and kitchen and all rubbish removal.  Household waste must be put out for collection during your stay, as detailed in the chalet information pack that is provided to the hirer as part of the arrival information.

12.  Arrival and vacating times

Changeover day is Saturday, unless agreed otherwise by the owner.  Arrival to the property is no earlier than 5pm.  The property must be vacated no later than 10am on the changeover day, unless agreed in advance with the owner. Full details are described in the arrival information pack sent about a month in advance of the stay.

13.  Smoking and vaping

Smoking and vaping are strictly prohibited anywhere within the property, including any outbuildings, decking area, garden, or parking areas.

If this condition is breached, the owner will hold the hirer responsible and reserves the right to withhold 100% of the security deposit if this term is breached by way of feedback from the housekeeper on changeover as a result of enhanced cleaning / property freshening being required.

14.  Parking

The hirer is permitted to park up to 2 cars directly in front of the property between the perimeter fence and the roadway.  The roadway is the official boundary of the property, and no other vehicles are permitted to be parked in this area.  Please do not park over the drain covers or stones marked in white.

15.  Items not covered by the rental charge

  • Bathroom towel bundle – these can be hired for a small extra cost (£10 per person) – please let us know at the time of booking.
  • Beach towels.
  • Cot bedding.
  • Items stored within the shed, locked cabinets and under all beds.
  • Toiletries.
  • Other consumables or where items need to be replaced mid stay – eg toilet rolls, kitchen towel etc.

Items covered within the rental charge

  • All bed linen is included as part of the rental.
  • General ‘under-sink’ household cleaning items
  • Fuel – electric and gas (see point 5 above – excess use and security deposit).
  • All appliances within the chalet
  • Wifi

16.  Emergency access.

The owner and /or his representative shall be allowed access to Chalet Pool at any reasonable time during any holiday occupancy to undertake emergency maintenance should an issue arise and / or is notified by the hirer.  The owner and / or her representative will advise the hirer a time when the repairs will be made. Every effort will be made to keep disruption to a minimum.  The owner cannot accept responsibility for any loss of enjoyment of the holiday or use of the chalet whilst the maintenance / repairs are carried out.  The owner cannot be held liable for any act or circumstances beyond their control.

17.  Termination of Booking Contract / Agreement

The owner reserves the right to terminate this Agreement and ask you and your guests to leave immediately if this is deemed necessary as a result of your behaviour or that of your guests or any other material breach by you of the terms of this agreement. Guests are asked to give consideration to neighbours and not to cause nuisance or annoyance. In the event the hirer has not disclosed an issue which causes risk to person or property, the hirer shall be liable to all costs and damages which may ensue.

18.  Data protection and Privacy.

Personal information provided to the owner will remain confidential and will not be disclosed to a third party or used for any other purpose.
